Steps to Set Up a Sales & Marketing Dashboard in HubSpot

You can use a Dashboard to organize related HubSpot Reports into one view. HubSpot also lets you create different Reports for different Reporting purposes, share Dashboards with other HubSpot users, and clone the current Dashboards so as to stay organized. You can also create new Dashboards and customize their Reports to meet your personal needs. 

To share a Dashboard with other HubSpot users, you simply have to change its visibility. Super admins and users granted permissions on HubSpot Reports and Dashboards can view and edit the Dashboards regardless of the ownership or visibility. 

To create a sales and marketing Dashboard in HubSpot, follow the steps given below:

Step 1: Log into your HubSpot account. 

Step 2: Click “Reports” then choose “Dashboards”.

Step 3: You will be taken to a new window with ready Dashboards and an additional option of creating a new Dashboard. Click the “+ Blank Dashboard” button.

You can also decide to use the Dashboard templates provided on the window. After choosing a Dashboard, click “Next” and it will be opened. 

Step 4: A new window will be there on the right side of the screen. Provide a name for your Dashboard in the “Dashboard name” text field. Also, choose who to access the Dashboard, whether it’s you the owner alone or everyone. 

If you choose “Everyone”, choose whether they can view and edit or view only.

Step 5: The Dashboard will then be created and opened. 

Steps to Add HubSpot Reports to Your Dashboard

Now that the Dashboard is ready, you can go ahead and add a HubSpot Report or Reports to it. 

Follow the steps given below:

Step 1: Make sure that you are within the new Dashboard that you’ve created. 

Step 2: Click the “Add Report” drop down button shown on the top right corner of the screen. You will be presented with 3 options as shown below:

Step 3: If you need to add a Report from the HubSpot Reports that you’ve already created, choose the “From my Reports” option. 

Step 4: “All Reports” tab with different Reports will load up. You will see a search bar that you can use to search for a Report. Identify the Report that you need to add to your Dashboard and click its checkbox on the left to activate it. Add it to your Dashboard. 

Step 5: To choose a Report from the Report library, choose the “From the Report library” option. 

Step 6: Identify the HubSpot Report that you need to add to the Dashboard and click the “Save Report” button.

Step 7: Choose the Dashboard to which you need to add the HubSpot Report, then click the “Save & add” button.

Step 8: To create a new HubSpot Report and add it to your Dashboard, choose the “Build a new Report” option. Step 9: Choose the property that you want to Report from the navigation pane on the left. Make the appropriate selection on the middle window and click the “Next” button on the top right corner of the screen.

Step 10: Go through all the necessary steps as directed through on-screen instructions and the HubSpot Report will be added to the Dashboard. 

Limitations to Creating Dashboards and Reports in HubSpot 

The following are the challenges associated with sales and marketing HubSpot Reports/Dashboards:

  1. A lot of time is needed to clean and import data from other platforms. Instead, you can simply use an ETL tool for this purpose.
  2. It’s impossible to generate HubSpot Reports from real-time data. HubSpot doesn’t provide a mechanism to import data from other platforms in real-time. 
  3. It is really hard to move your HubSpot data into an analysis platform. Though HubSpot provides some APIs, it is a really complicated process to set up.
